Library Revitalization and Digitalization Consultant PRAKARSA

Background

Since its inception, The PRAKARSA already has a library that is managed internally and independently. The available library functions to store reading source books, research reports and other publication materials produced by The PRAKARSA. At the beginning of the library's establishment around 2005, the library PRAKARSA become a reference for various groups who want to add reference sources or just discuss together. Like fellow NGOs, students, lecturers and media crew.

 

However, as The PRAKARSA, the current library is no longer well managed. Physically, the books in the library are still in good condition, but there is no inventory list system for these books in terms of book titles, quantities and other information. Not only that, the library's limited physical capacity often results in books being stacked irregularly. The number of reports and publication materials produced by the institution itself has not been properly recorded, so it often runs out of stock when needed.

 

Limited space and digital developments require us to improve ourselves. Information that is easily accessible and fast from the internet is more attractive to the public. It is of course necessary to utilize information and communication technology, so that information from existing books is not marginalized and lost. One effort that can be made is by converting the media into digital form. Publication in digital form will make it easier for people to access.

 

We hope that by carrying out library revitalization activities both in terms of appearance, inventory of library contents, and digitalization efforts in the future, it will be more useful. It is hoped that libraries will be more useful, becoming a source of information that supports learning, research and community development.

 

Activity Objectives

The aim of the library revitalization PRAKARSA namely:

  1. Reorganize and organize the stock of reading materials owned by The PRAKARSA, both produced by ourselves and by external parties that are relevant for the research and advocacy work carried out by the institution, both in analog and digital form.
  2. Providing a comfortable, attractive and functional environment for library users, both internal staff and external parties who are interested in expanding knowledge and discourse regarding the issues being worked on and relevant to the work of The PRAKARSA.
  3. Digitizing to increase accessibility and flexibility for the wider community.
  4. Increasing the positive impact of libraries, becoming active and relevant information and knowledge centers in supporting learning, research and community development

 

Output and Scope of Revitalization

We hope that the library revitalization carried out can achieve the following output:

  1. Availability of a reading catalog that is managed and updated regularly, both analog and digital
  2. Availability of library space that is well organized, comfortable, attractive and functional
  3. The digitization of the library's books PRAKARSA
  4. It's easy and fast for people to access information from the library PRAKARSA

 

Scope of revitalization

  1. Check the physical condition of the library contents (books, reports and other existing publication materials), including checking the availability of office space that can be used for the library
  2. Record bibliographic descriptions of library materials
  3. Offers a library concept that fits the character of The PRAKARSA
  4. Identify existing technology infrastructure and identify the need for better information systems
  5. The process of taking objects that will be transferred to digital format
  6. Simple SOP document for library use

Consultant Qualifications 

Consultants for this activity have the following qualifications:

  • Is a librarian or has an educational background in librarianship (proven by CV and examples of work done)
  • Mastering physical and digital library management
  • Having good communication skills

 

Contents of the Offer

For consultants who have interest and competence in carrying out this revitalization, we hope to send us offers as a form of transparency and accountability in selecting consultants. The contents of the offer include, among other things:

  1. CV personnel
  2. Technical/specific suggestions:
    – Explanation or proposal regarding the revitalization that will be carried out
    – Technical field work and schedule
    – Specific explanation regarding the relevance of issues that need to be considered or prepared by The internal PRAKARSA
  3. Finance:
    – Includes personnel costs, transportation costs, taxes and other costs within the scope of work
    – Does not include the costs of creating physical infrastructure supporting the library (such as bookshelves, etc.)
